About the Role:
A Day Porter in the Hawkes Bay office is a part-time, hands-on workplace support role focused on keeping the office clean, functional, stocked, and welcoming for employees and visitors. The role is designed for 2 working days per week and requires flexibility around office events and business needs.
Working Hours:
Flexible part-time or casual opportunity based on business needs.
Current shifts are Wednesdays, 8:00 am-12:00 pm, and Thursdays, 10:00 am-2:00 pm, with hours adjustable via client if needed. Applicants must be available to assist with events, workspace resets, and occasional short-notice requests. Additional hours may be available as required.

Key Responsibilities:
Pantry Operations & Food Program Support
- Manage pantry areas, ensuring stock levels are maintained and supplies are consistently replenished.
- Keep fridges, snack displays, coffee/tea stations, and kitchen equipment replenished and organised at all times.
- Clean and disinfect mugs, glasses, kitchenware, and food storage containers.
- Conduct regular expiry checks and ensure all items meet food safety standards.
- Remove litter and rubbish from common areas and ensure waste is disposed of properly.
- Unpack deliveries and assist with presenting catering where required.
- Sanitize storage areas and maintain a pest-free environment.
- Ensure stock rooms remain clean, organized, and well-labelled.
- Support lunch service (set-up, replenishment, pack-down).
- Use internal channels (Slack, chat, email) to communicate with client teams.
- Gather and relay employee feedback to HQ.
- Maintain food health, hygiene, and safety protocols at all times.
- Provide active updates on the Site Brief for visibility and tracking.
- Set up and pack down meeting rooms, including adjusting furniture, AV equipment, and supplies.
- Ensure meeting rooms are clean, organised, and stocked with essentials (whiteboard markers, HDMI cables, notepads, etc.).
- Provide quick support for ad-hoc requests and last-minute setups.
- Reset and tidy shared spaces such as All Hands areas, breakout spaces, kitchens, and wellness rooms.
- Wipe down surfaces, address spills, and restock daily consumables.
- Rearrange furniture layouts for daily use or special events.
- Assist with moving furniture, whiteboards, workstations, and event equipment.
- Support ad-hoc tasks such as receiving and delivering packages, organising storage, and workplace tidy-ups.
- Provide workstation setup support for new hires when needed.
- Assist with periodic stocktakes across supplies, equipment, and consumables.

- Conduct routine walkthroughs to identify cleanliness, maintenance, or safety issues.
- Monitor common areas including kitchens, reception, and bathrooms for stock levels, cleanliness, and functionality.
- Report facility concerns (lighting, HVAC, plumbing, equipment issues) to the Workplace Experience team or relevant vendors.
- Assist with setting up and packing down internal events, including AV, furniture, catering stations, and signage.
- Provide on-the-day support such as replenishing items, clearing rubbish, and keeping the event area tidy.
- Support post-event resets to return spaces to standard layout.
- Support Boost Days and catering, including setup, service monitoring, and cleanup for breakfast and lunch programs.
- Coordinate with vendors and help guide suppliers onsite.
- Respond to ad-hoc workplace requests and assist with general office upkeep and physical tasks.
- Maintain stock levels of stationery, cleaning products, kitchen supplies, and general office consumables.
- Track coffee, tea, milk, and pantry essentials daily.
- Support event-specific stocktakes such as social drinks (alcoholic & non-alcoholic).
- Assist with supply planning and ordering where required.
- Serve as the primary on-site advocate, translating local cultural and operational insights into actionable feedback for the Workplace Experience teams.
- Collaborate cross-functionally with People Experience and IT to deliver seamless, "first-line" support that enhances the daily employee experience.
Skills & Qualifications:
- Experience in hospitality, pantry operations, or office support preferred.
- Detail-focused and service-oriented.
- Comfortable lifting and moving moderately heavy items (up to ~20 kg).
- Proactive and able to spot and report issues early.
- Good time management skills and ability to manage competing tasks.
- A strong communicator who works professionally with employees, vendors, and support teams. Basic tech literacy (email, Slack, ticketing tools).
- Friendly and approachable, helping create a warm, inclusive office atmosphere.
- Collaborative, working closely with Workplace Experience, cleaners, and catering personnel.
- Proven ability to cultivate and manage strategic partnerships with local stakeholders to drive community-aligned initiatives
- Fluent in English (verbal and written), able to follow instructions accurately and communicate clearly in a fast-paced environment.
